"Can you get this to me by [date]?" is the most urgent question we field — often arriving when the event is four weeks away and the buyer has never ordered a custom inflatable before. This guide gives you the honest numbers, so you can plan correctly from the start.

Custom inflatable production involves multiple sequential stages, none of which can be skipped. Understanding the full timeline — from brief submission through to door delivery — is the most important thing any event professional or brand manager can do before placing an order.

The short version: for a standard custom inflatable delivered to the USA or UK, allow 4–5 weeks from the date you're ready to proceed. For complex designs or Christmas season orders, allow 6–10 weeks. Rush options exist and are covered below.

The Complete Production Timeline — Every Stage

01

Brief & Artwork Submission

Day 0

You share your design files (vector preferred), dimensions, intended use, and event date. The more detail you provide at this stage, the faster everything moves.

Tip: Provide your artwork as an Adobe Illustrator (.AI), EPS, or high-resolution PDF file. JPEG and PNG are accepted for reference only.

02

3D Mockup Delivered

Within 24 hours

Our design team produces a photorealistic 3D CAD rendering of your inflatable. You review dimensions, colour accuracy, logo placement, and proportions.

Tip: Request all your changes in one round where possible. Each additional revision round adds approximately 12–24 hours.

03

Mockup Approval & Deposit

Your timeline

You approve the 3D mockup in writing and pay the agreed deposit (typically 30% of the order value). Production begins immediately on receipt of both.

Tip: Production cannot begin without both written approval AND deposit received. This is the most common source of avoidable delays.

04

Production

7–15 working days

Your inflatable is manufactured in our factory. You receive production photos at key stages: fabric cutting, printing, sewing assembly, and 24-hour inflation test.

Tip: We send progress photos proactively. You can also contact your account manager via WhatsApp at any time for a status update.

05

24-Hour Inflation Test & QC

Included in production

Every finished inflatable is inflated continuously for 24 hours. Seam integrity, blower performance, print quality, and all attachment points are verified and signed off.

Tip: This step is non-negotiable and is why our products arrive event-ready — not as surprises.

06

Packing & Dispatch

Same day as QC sign-off

Your inflatable is packed in its carry bag(s), placed in protective cartons, and handed to the courier. You receive tracking details within 24 hours.

Tip: All documentation for DDP customs clearance is prepared at this stage — no action required from you.

07

Express Air Freight

5–9 working days

DHL or FedEx express delivers your inflatable door-to-door. Under DDP terms, all customs clearance and import duties are handled by us.

Tip: Track your shipment in real time with the DHL/FedEx tracking number provided at dispatch.

Express Freight Times by Destination Country

These times cover the freight stage only — from our factory gate to your door. They do not include production time. All times are for DHL or FedEx express air freight under DDP terms (duties and customs handled by us).

Rush Orders: What's Possible, What's Not

Rush production is available for most product types and compresses manufacturing to 5–7 working days. Combined with express air freight, the minimum realistic total lead time from order confirmation to delivery is approximately 10–14 days for simple designs.

✅ Rush Is Usually Possible For

  • Single inflatable letters or small sign sets
  • Standard-size event arches and tunnels
  • Simple mascot or character shapes
  • Repeat orders of previously produced designs
  • Single giant product replicas (simple shapes)

⚠️ Rush May Not Be Possible For

  • Complex multi-element 3D product replicas
  • Large event tunnel sets with full-surface print
  • Multi-piece display systems (5+ units)
  • Christmas season (factory at full capacity)
  • LED-integrated products with custom wiring

Rush surcharge: 20–30% of the standard production cost. Contact us as early as possible — rush availability depends on current factory capacity and cannot be guaranteed without checking. We will always give you an honest answer about what is achievable before you commit.

The 5 Most Common Causes of Delay (And How to Avoid Them)

01

Artwork submitted in the wrong format

Impact: Adds 2–5 days while artwork is redrawn or converted

Submit your logo and brand artwork as an Adobe Illustrator (.AI), EPS, or high-resolution PDF file. JPEG and PNG screenshots of logos require full manual vectorisation before printing can begin.

02

Multiple revision rounds on the 3D mockup

Impact: Each round adds approximately 12–24 hours

Gather all stakeholder feedback and submit revision requests in a single consolidated note. A well-prepared design brief at the outset typically reduces mockup rounds to one or two.

03

Delayed deposit payment after mockup approval

Impact: Production cannot begin until deposit is received — every day of delay is a day of lost production time

Have your payment method and approval authority confirmed before the mockup is delivered. Wire transfers typically clear in 1–3 business days; factor this into your timeline.

04

Customs complications for non-DDP orders

Impact: Can add 3–10 days or more depending on destination country

Choose DDP shipping terms. Under DDP, all customs documentation, import duties, and clearance are handled by InflatCustom. You receive your inflatable at your door without any customs action required.

05

Last-minute design changes after production begins

Impact: May require partial or full restart of production; adds 3–7+ days and incurs additional cost

Review the 3D mockup carefully and confirm all details — dimensions, colours, logo placement, text — before giving written approval. Production approval is final; changes after this point cannot be accommodated without additional cost and time.

Frequently Asked Questions

How long does it take to make a custom inflatable?

Standard custom inflatable production takes 7–15 working days after your 3D mockup is approved and a deposit is received. Simple single-colour letters and small signs are typically completed in 7–10 days. Complex 3D product replicas, large event tunnels, and multi-element display sets take 12–15 working days.

What is the fastest a custom inflatable can be delivered?

With rush production (5–7 working days) combined with DHL or FedEx express air freight (5–7 days to USA/UK, 6–9 days to Australia), the realistic minimum total lead time from order confirmation to delivery is approximately 10–14 days. This requires simple designs and immediate deposit payment.

How early should I order a custom inflatable before my event?

For standard orders, we recommend allowing at least 4–5 weeks from order to event date. For complex designs (large 3D product replicas, multi-piece sets), allow 6–8 weeks. For seasonal peaks such as Christmas, allow 8–10 weeks. Ordering earlier eliminates the risk of rush surcharges and gives time for design revisions.

Does the 3D mockup process add time to production?

The 3D mockup is delivered within 24 hours of receiving your artwork and brief. Production does not begin until you approve the mockup in writing. Design revision rounds typically add 12–24 hours each. The mockup process is not included in the production timeline — production time starts from the moment you approve the mockup and pay the deposit.

Is rush production available and how much does it cost?

Yes. Rush production compresses the manufacturing timeline to 5–7 working days for most product types. A rush surcharge of 20–30% applies. Rush availability depends on current factory capacity — contact us as early as possible before your event date to confirm. Rush production is not available for the most complex 3D replica designs.

What causes inflatable orders to be delayed?

The five most common causes of delay are: (1) late artwork submission or artwork in unsuitable formats requiring redesign, (2) multiple revision rounds on the 3D mockup, (3) delayed deposit payment after mockup approval, (4) customs clearance complications for buyers using EXW or FOB terms, and (5) last-minute design changes after production has begun.

The Honest Summary

If your event is more than 6 weeks away: you have comfortable time for a standard order with design revisions. Place your brief now and proceed at a normal pace.

If your event is 4–6 weeks away: standard production is still achievable, but submit your artwork immediately and confirm your payment method before the mockup arrives.

If your event is 2–4 weeks away: rush production is your only option. Contact us immediately — we will tell you honestly whether your specific product and destination can be achieved in time.

If your event is under 2 weeks away: we will always be honest. Some simple products to nearby destinations are achievable; complex designs to distant locations are not. Contact us and we will give you a clear answer rather than take your money and disappoint you.
