We ship most orders DDP — door-to-door, duties paid, one number on the quote. And yet some of our most experienced buyers decline it. A Swiss client recently asked us for exactly three things: carton count, weights, and dimensions (“4 cartons, 140kg, 60×54×46cm each”), then booked his own DHL pickup against his company's Swiss account. He was right to. This guide explains when self-arranged freight beats DDP, and what data you must extract from any factory to do it properly.
What Each Term Actually Allocates
DDP (Delivered Duty Paid): the factory owns the entire chain — export clearance, freight, import clearance, duties, last-mile. You receive a crate and zero paperwork. Risk sits with the seller until your door.
EXW / FOB with self-arranged freight: the factory produces and packs; your nominated carrier collects from the factory (EXW) or from the port (FOB). You own the freight rate, the customs entry, and the risk from handover.
DDP's value is certainty. Self-arrangement's value is leverage — if you have leverage.
The Four Buyer Profiles Who Should Self-Arrange
- You hold corporate carrier accounts. Companies with negotiated DHL/FedEx/UPS rates routinely beat any factory's spot pricing, because their annual volume spans all their supplier shipments. The Swiss buyer's account rate on 140kg beat our best broker quote — no factory can outbid a customer's own contract.
- You consolidate from multiple suppliers. If our crate is one of five pickups joining a consolidated container, your forwarder needs control of routing. DDP would fragment your consolidation.
- You import regularly into one country. Your customs broker already has your importer records, deferment account and product classifications on file. A repeat importer clears faster through their own broker than through a fresh DDP entry.
- Your country has quirks DDP handles badly. A few markets (complex VAT deferment schemes, remote islands, in-country agent requirements) price DDP with heavy insurance padding. Local knowledge beats padding.

The Data You Must Demand From the Factory
Self-arranging fails when buyers request quotes with incomplete cargo data. Before contacting any carrier, get this exact list:
- Carton count and per-carton dimensions (L×W×H in cm)
- Gross weight per carton and total
- Volumetric weight — carriers charge the higher of actual vs volumetric (L×W×H÷5000 for express). Inflatables are dense when folded; pumps and blowers are not.
- Palletization status — heavier consignments must ship palletized. A Japanese client's sphere order crossed the weight threshold and needed pallet quotes across three material options; pallet weight and height count toward your rate.
- Oversize flags — anything over 120cm on one side (rolled goods, long tubes) triggers oversize surcharges on express networks. Sometimes cutting a print into two panels is cheaper than shipping one long tube; ask for both configurations.
- Battery/electrical declarations for blowers and LED controllers — your carrier will ask.
We provide this as a standard “self-ship data sheet” on request. Any factory that resists sharing it is telling you their DDP margin lives in the freight line.
The Hybrid Play
Sophisticated orders often split: the bulky inflatable travels DDP sea freight (cheap, slow, factory-managed), while accessories — spare blowers, repair kits, urgent replacement panels — ride the buyer's express account. You get DDP certainty on the difficult freight and account-rate speed on the light freight.

Buyers who compare bare freight against full DDP conclude DDP is expensive; buyers who total all five lines are frequently surprised in the other direction.

Will you release cargo to my courier at the factory?
Yes — EXW collection by your nominated carrier is routine. We hand over the packing list, commercial invoice and any declarations your carrier requires.
Who is responsible if my self-arranged shipment is damaged?
From carrier handover, transit risk sits with your freight contract and its insurance. This is the trade-off for controlling the rate — insure accordingly.
Can you palletize to my forwarder's specification?
Yes. Give us the pallet standard (Euro/US), max height and whether film-wrap or banding is required, and we pack to spec with photos before pickup.
Is sea freight ever worth it for one inflatable?
For single large units without deadline pressure, LCL sea freight can halve the freight line at the cost of 3–5 weeks. Order in the off-season and the math often wins.
