Use this procurement checklist to define the proposed configuration and quotation. These are planning questions, not a record of completed customer projects.
A suspended mirror ball and a floor-based display need different installation reviews. Share the exhibition layout, viewing distance, available space and intended position. For suspension, the venue or its appointed rigger must approve the support arrangement and any proposed attachment points. For a floor display, include the base footprint, visitor route and contact risk in the brief.
Include any requested hanging rings in the drawing review, then confirm their intended function and the information the venue requires. A ring shown in a product image does not establish a lifting capacity. Ask the quotation to identify the inflation method, compatible pump or blower, power requirements and which accessories are included.
If a sample is needed, state whether it is intended to assess the surface finish, seams, colour, packing or inflation method. A small sample may not represent the visual effect of the final display at full size. Review reflection and visible seam placement under lighting similar to the proposed exhibition setting before approving production.
Request care instructions for the specified surface, including an approved cleaning method and any restrictions on cleaning products. Agree how the display will be dried, folded or otherwise packed, and protected during storage. Include a trial pack-down in event preparation where practical.
Send the delivery postcode, receiving contact requirements and the date the display must be ready for setup. Ask whether the proposed courier service includes customs clearance, import duties, taxes and final delivery, and who is responsible for each item. Confirm these boundaries in the quotation rather than assuming that an express service is tax-inclusive.
Supply a stand plan and identify suspended or floor-based use. Separate the product design from the local support and installation review.
Agree which finish, seam appearance and lighting conditions the sample or inspection evidence should cover. A small sample is not a full-scale display test.
Use final artwork and visible-side references for letters, mascots, logos or product replicas. Confirm the approved version before production.
