How to Review a Custom Inflatable Mascot Video Before Dispatch
Pre-shipment buyer checklist
Agree the inspection evidence and acceptance criteria in your order scope.
Quick buyer answer
A useful pre-shipment video identifies the actual unit being supplied and shows it against the approved order scope: its overall shape, important artwork, intended movement, inflation equipment and relevant accessories. A promotional clip of a similar product is not enough to approve your own order.

Agree the evidence you need before production. InflatCustom’s project inspection and packing review is arranged around the selected order; requested photos or video checks should be included in that scope.
1. Identify what the video represents
Ask whether the footage shows a concept, a prototype, a reference product or the actual production unit. If it shows the unit for your order, record the order reference and artwork revision without displaying personal contact details.
For a multiple-unit order, agree how individual units or batches will be identified and which checks will cover them. A video of one example does not by itself establish that every unit has been checked.
Keep the approved drawing, artwork preview and written specification beside the video. They provide the comparison; the video provides evidence of the item shown.
2. Begin with an unobstructed view of the complete mascot
Request a view that includes the cap or head, body, arms and base without cropping. Follow it with the important side and back views. A close-up can hide a proportion difference that becomes obvious when the entire display is visible.
Check the recognizable outline, expression, orientation of character details and the shape of important packaging features. If dimensions are part of acceptance, ask for the agreed measurement evidence. Camera perspective alone does not establish height or width.
For a bottle-shaped inflatable mascot, compare the cap, neck, shoulders, main label area and arm positions with the approved design. Do not treat a design render as a recording of the completed inflatable.
3. Review the brand areas at useful viewing angles
Check the logo version, spelling, label orientation, major color areas and seams that affect the artwork. Ask for a closer view where a printed detail cannot be judged in the overall shot.
Then return to a wider view. A logo that looks clear in a close-up may be hidden by an arm, distorted by a curved surface or difficult to recognize from the audience’s direction of approach.
A phone or monitor is useful for checking artwork arrangement. It cannot independently verify an exact physical color match. Where color is a contractual requirement, use the agreed color reference and evidence method alongside the video.
4. Check the movement actually specified
“Waving mascot” and “Air Dancer” can describe different effects. Your specification should identify the parts intended to move and the configuration used to produce that movement.
Ask for continuous footage that allows you to observe the relevant movement with the stated equipment. Check whether the mascot performs the agreed effect and whether important brand areas remain visible during operation. A single attractive frame does not show the full behavior of a moving figure.
If the brief calls for a stable product body with moving arms, review those requirements separately. If the brief calls for a flexible Tube Man, use the approved figure and equipment as the reference. This review does not create a wind rating, operating duration or safety certification.
5. Connect the video to the equipment and packing list
| Check | Evidence to request | Follow-up if unclear |
|---|---|---|
| Unit identity | Actual order or unit reference and approved revision | Confirm that the footage is of the item being supplied |
| Overall form | Complete front view plus relevant side and back views | Request a view without cropped features or obstructed areas |
| Artwork | Wider view and close-ups of essential brand zones | Record the exact text, position or layout difference |
| Intended movement | Continuous operating footage with the agreed configuration | Identify the moving part and effect that still need confirmation |
| Inflation equipment | Equipment model or nameplate and connection evidence | Match voltage, frequency and connection details to the written specification |
| Accessories | Items shown against the agreed packing list | Clarify any missing, substituted or separately supplied item |
| Packing | Identified packed unit, labels and agreed packed measurements | Reconcile the shipment details with the order and delivery plan |
Have the supplier confirm whether the equipment shown is the equipment included in your order. A blower used only for a demonstration may not be part of the quoted package. If you are supplying your own blower, compatibility should already have been agreed from its technical information.
Check storage bags, repair items, anchoring components and instructions only where they are included in the order. Avoid treating an item visible in a workshop background as an included accessory.
6. Separate visual evidence from technical documents
A video can show an inflatable operating and help reveal visual differences. It cannot establish fabric composition, fire performance, electrical approval, weather suitability or a guaranteed service life on its own.
Request the product-specific documents or inspection evidence agreed for the order. Venue requirements should be reviewed before production, with any outstanding requirement identified in writing. A generic certificate shown beside a product is not a substitute for checking which item and test scope it covers.
For general construction and site questions, read the existing Air Dancer design constraints guide. Use it to frame questions about the proposed build; do not apply one project’s fan diameter to every mascot.
7. Record a clear review outcome
| Outcome | What to record | Next action |
|---|---|---|
| Matches the agreed scope | Evidence reference, specification revision and the items reviewed | Confirm the next milestone under the agreed order terms |
| Evidence is incomplete | Missing view, label, measurement or accessory evidence | Request the specific information needed to finish the review |
| A difference needs correction | Screenshot or time reference, description and approved requirement | Agree the correction and request revised evidence before accepting that item |
Keep the review focused on observable differences. “The cap color in the supplied evidence differs from the approved reference” is more useful than “it does not look right.” Agree any effect on packing or dispatch timing with the project contact rather than assuming a correction has already been made.
Copyable request for your order brief
Please include the following in the agreed inspection scope: identify the actual production unit and artwork revision; show the complete mascot and important side and back views; show essential artwork clearly; demonstrate the specified moving parts with the stated inflation equipment; identify the equipment included in the order; show the agreed accessories and packing details; and provide any separately agreed measurement or document evidence. Please identify differences from the approved specification and send revised evidence after corrections.
Plan the evidence with the product
Send your artwork, quantity, target dimensions, intended movement, site requirements, destination and campaign date. Include the inspection evidence your team needs to review before dispatch.

Frequently asked questions
Is a sample or reference video enough to approve my order?
It can help assess the display concept, but approval of the finished order should use the evidence and acceptance criteria agreed for that order. First establish what the footage represents.
How long should the operating clip be?
Agree enough continuous footage to observe the specified movement and relevant brand areas. The useful duration depends on the design and review purpose; this guide does not prescribe an equipment test duration.
Can a video prove a mascot is safe outdoors?
An operating clip does not establish outdoor suitability or operating limits. Those depend on the selected product, equipment, instructions, installation and site requirements.
Do all orders include a pre-shipment video?
Inspection photos, video, measurement evidence and documents should be confirmed in the quotation or order scope. Do not assume the same evidence package is included with every build.
